Safety Center lets you check on the wellbeing of your Workplace community during a crisis event. Assign Safety Operators, create a Safety Center incident and quickly message coworkers who may have been affected.

Create a Safety Center Incident
To use Safety Center, you need to be a Safety Operator. Safety Operators are appointed by Workplace System Admins.
To enable Safety Center for your organization:
  1. From your News Feed, click Admin Panel in the left menu.
  2. Below Advanced Plan Features click Safety Center.
  3. Click Add Safety Operator and add yourself as a Safety Operator. Safety operators can create messages in Safety Center.
  4. Click Add.

Only Safety Operators have the ability to create a Safety Center incident for their Workplace.
Safety Operators are appointed by System Admins. To add Safety Operators:
  1. From your News Feed, click Admin Panel in the left menu.
  2. Below Advanced Plan Features, click Safety Center.
  3. Click Add Safety Operator, and enter the name of the person you want to add.
  4. Click Add.
System admins aren't automatically given access to Safety Center. They must first appoint themselves as Safety Operators.

You can access Safety Center from the Admin Panel. Before you can send any messages, you must first create an incident.
Creating a new Safety Center incident
To create a Safety Center Incident:
  1. From your News Feed, click Admin Panel in the left menu.
  2. Below Advanced Plan Features click Safety Center, then select Add Incident.
  3. Select the incident type based on the scenario:
    • System Test: Use to review capabilities and send test messages to yourself and others involved in incident response. Notifications say “TEST”.
    • Practice Drill: Prepare for emergencies by running planning simulations, including managing people’s responses. Notifications say “DRILL".
    • Live Incident: When responding to a real situation, choose this option to log the details and message employees.
  4. Complete the Title, Locations and add Safety Operators.
Duplicating an existing Safety Center incident
To duplicate an existing Safety Center incident:
  1. From the Safety Center homepage, click next to the incident you would like to duplicate.
  2. Check and amend the incident details and Safety Operators as required.
  3. Click Add Incident to create the new incident.
Sending a message
You have now created an incident. You can add messages to an incident as long as it’s open. To send a message:
  1. Click Create Message.
  2. Select your message type. Click on any option to learn more. Click Next.
  3. Add your message content. On the right hand side of the screen, you can see previews of each message type. Once you are done, click Next.
  4. Click Add People to select recipients of this message. People can be added in the following ways:
    • Add individuals (by manually adding them to the event)
    • Add Workplace Groups to add all current group members
    • Add by Workplace Profile Location
    • Add a CSV file (only employee emails are needed)
    • Add from previous alert (search for a previous alert and use the same recipient list)
  5. Select the channels you want to deliver your message through. You can choose from:
    • Workplace Chat
    • Workplace Notification
    • Email
    • All Channels
  6. Click Send Message and confirm.
  7. You can now track the progress of this message and manage responses. You can send multiple messages per incident.
The response status will be updated in real-time based on a person's most recent response. Follow-up action is at the discretion of your organization.
Note: System-generated Safety Center message content will be translated into the language of the user's Workplace account, but custom content written by the Safety Operator will not.

You can see real-time reporting on any Safety Center incident. From the Safety Center home page, you can view all incidents and see response and read rates.
To get more details:
  1. Click on an incident.
  2. You can see incident insights in the right hand column. Click on any message, to see reporting for that message.
  3. Under Recipient List, you can see all recipients of your message and whether they have read or responded to your message.
  4. For any recipient, you can choose to do the following:
    • Call: Click the phone icon next to any recipient's name to call the number provided in their Workplace profile.
    • Send Message: Click the paper airplane icon to resend this message to the individual.
    • Update Status: Click this button to manually change the response status of a recipient. For example, if you speak to a recipient and confirm that they are ok you can mark them as safe.
  5. If you would like to resend a message to some or all of the people on the Recipient List, click Send Message.
  6. If you would like to add additional recipients, click Add People. After adding recipients, click Send Message to complete the process.

Safety Operators can add safety incident message recipients by:
  • Adding individuals (by manually adding them to the safety event).
  • Adding Workplace Groups. This will add all current group members.
  • Adding by Location.
  • Adding a CSV file (only employee emails are needed).

When setting up an incident, the Location field is only intended for informational purposes to identify the general vicinity of the incident and will be displayed in any messages you send.
You can add more specific location details in the body of your message. It doesn't determine who'll be added to the incident messages. If you want to add employees to a message by location, use the Add by Profile Location option when adding people.

When you're added as a Safety Operator, you're given access to all of Safety Center's features, including all incidents that have been created by any other Safety Operators.

Edit a Safety Center message
To edit the details of a Safety Center incident after creating it:
  1. From your News Feed, click Admin Panel in the left menu.
  2. Below Advanced Plan Features, click Safety Center.
  3. Click on the incident you would like to edit.
  4. Click Edit Incident on the top right.
From there, you can change the Title, Location, and People Assisting.

You can remove individuals from a Safety Center incident as long as they have not yet been sent a Safety Center message. You may need to do this if you'd like to add most members of a large group to your message, but would like to exclude some specific individuals.
To remove someone from your draft message:
  1. After adding people to your draft message, you'll see that their names appear on the right side of the screen.
  2. Find the people you would like to remove and check the box next to their name.
    • Names are listed alphabetically. You can also search for names using the search bar above the recipient list.
  3. Once you have selected all the individuals you would like to remove from this message, click Remove and confirm your selection.
Once you have sent someone a Safety Center message, you will no longer be able to remove them from a Safety Center incident.

Under Recipient List, you can see all recipients of your message and whether they have read or responded to your message.
Click the Update Status button to manually change the response status of a recipient. For example, if you speak to a recipient and confirm that they are OK, you can manually mark them as safe.

Adding a person to People Assisting on Safety Center incidents will list that person as part of the Safety Team on the incident page.
Only Safety Operators can be added as People Assisting so that they can see and manage the incident.
If a Safety Operator takes action on an incident, they'll be auto-added as a person assisting with the incident.

To end a Safety Center incident, click Close Incident from the upper right hand corner of the incident page. You can reopen an incident at any time by clicking Reopen Incident.
Even if a Safety Center incident has ended, employees will still be able to respond to notifications at any time. You can't send new messages unless the incident has been reopened.
Deleting an incident
Once you have closed the incident you can also delete it by clicking Delete Incident. You can only delete incidents that have already been closed. The Safety Operator who deleted the incident and any other Safety Operators assigned to the deleted incident will get an email notification letting them know the incident was deleted and providing them with a recap of incident metrics.
Note: Once an incident has been deleted, this action can't be undone. If a message recipient tries to respond to a message that has been deleted they will see an error message saying that the content cannot be found.

Notifications
Yes. Safety Center is meant to be used for safety updates, so these notification types will be delivered irrespective of a Workplace user's email notification or Do Not Disturb settings.

When sending a message in Safety Center, you can contact people through the following channels:
  1. Workplace Notifications - this will be shown at the top of News Feed and through notifications.
  2. Workplace Chat - this will send a chat to users.
  3. Email - this will send emails to users via email in profile.
You can choose to send messages through one or all of the above notification channels.
A user only needs to view or respond through one channel for Safety Center to log their action. If a message requires a response, a user can change their response at any time.

To send another message to someone who hasn't yet responded, go to the specific message you would like to resend.
  1. If you want to resend to a specific set of recipients, select the boxes next to their names.
  2. Click Send Message in the Recipient List section.
  3. Select the channels you would like to send your message through.
  4. Select your audience. You can select all recipients or only those who have not responded.
  5. Click Send.

More on Safety Center
Safety Center on Workplace is completely separate from Safety Check for Facebook.
Safety Center for Workplace allow a designated team of Safety Operators to create, send and manage safety checks for their organization's employees when a safety incident has been identified. Only Safety Operators can see and manage responses.
Safety Check for Facebook is activated by the Facebook community and Safety Check responses are shared with Facebook friends.

A person may respond to a Safety Check with one of two responses:
  • I'm Safe.
  • I Need Help.
Responses will update in the message details page in real time. You'll be able to filter this page based on the response type. Every safety operator added to the specific incident will be notified by email if a user is marked as needing help. System Admins can also configure a custom email for these notifications to the team via the Safety Center settings page.
If someone marks themselves as needing help, you can click the phone or chat icon next to their name to contact them directly.

When you create an incident, you will have the option to create a System Test, Practice Drill or Live Incident.
  • Test can be used to review capabilities and send test messages. Notifications will say “TEST”.
  • Drills can be used for running planned simulations and managing people’s responses. Notifications say “DRILL”.
  • Creating a live incident in Safety Center will alert all selected employees. Only create these events when a real incident is in progress.
Notifications sent to employees will clearly indicate if the event is a drill or a test. Test and drill events work the same way as live incidents.

Troubleshooting
After importing people to Safety Center during message creation, you'll be shown a results page that displays the number of successfully imported, failed and duplicate people.
On the error screen, you can download the list of failed imports to try importing them again. The most common issues when importing employees include providing invalid employee IDs or emails that don't correspond to users in your community.
If the IDs or emails appear to be correct, and you can't import the employees after multiple attempts, please contact Workplace Support.
