Learn the basics of your Workplace profile like the difference between your cover photo and profile photo, adding and endorsing skills and even creating and sharing notes with your coworkers.

Your profile includes details like your name, job title and work contact info. You can personalize your work profile by adding information like a profile picture, cover photo and other details in the About section.
If you're using Workplace Advanced, your employer may have provided some of the information in your profile. Since your employer provides this info, you should contact your company's HR department if you want to edit any of the details.

Workplace is a community where everyone uses the name they go by at work. This is so that you always know who you're connecting with on Workplace.
Your name can't include:
  • Symbols, numbers, unusual capitalization, repeating characters or punctuation
  • Characters from multiple languages
If you're using Workplace Advanced and your name follows our standards but you're still having trouble changing it, please contact your Workplace community admin.

To add or edit an alternative name from your computer:
  1. From your profile, click About.
  2. Click Add a nickname, a birth name... below Other Names.
  3. Select the type of name you'd like to add.
  4. Enter your other name and choose whether or not to show it at the top of your profile.
  5. Click Save Changes.
Note: If you don't check the box to have your other name listed at the top of your profile, it will still be visible in the About section of your profile and in search results.

Your profile picture is the picture that coworkers see next to your name everywhere on Workplace. This is how people recognize you.
Your cover photo is the large image at the top of your profile. This lets you feature a unique image that represents who you are or what you care about.
Note: Your profile picture and cover photo can be seen by anyone visiting your profile.

Your Workplace admin may have restricted your ability to edit specific fields on your profile.
Some profile fields may have been populated for you. If the information is incorrect but you are unable to edit it yourself, contact your Workplace admin.

If you can't find skills on your profile, your Workplace admin may have disabled the feature.
To add skills to your profile from your computer:
  1. Go to the Skills of your profile.
  2. Begin typing any skill. If the skill has already been added by another colleague, it will pre-populate.
  3. Click on the skill.
  4. Click Add > Done.
Note: To remove a skill, click next to the skill then click Done.
Keep in mind that you can also add skills via the About section of your profile.

If you're a user of Workplace Essential or Advanced and can't find skills on your profile, your System Admin may have disabled the feature.
To endorse someone else's skills from your computer:
  1. Go to your coworker's profile and navigate to Skills.
  2. Click next to a given skill.
To remove an endorsement, click the highlighted .
Note: You can't endorse your own skills. Endorsing skills isn't yet available on our mobile apps.

Only you can set your birthday information on your profile. Keep in mind that you can only set your birth day and birth month. You won't be able to set your birth year to ensure that your age won't be shown to your coworkers.

Biography is a profile field that can be enabled for users to share a brief description of themselves with their coworkers. Admins cannot populate this data for the user. Users can complete their Biography by going to the About section of their profile.

In some Workplace communities, this option is only available to admins.
To add phone numbers to your profile from your computer:
  1. Go to your Workplace profile.
  2. Click About below your profile picture.
  3. Scroll to Phone.
  4. Click Add New.
  5. Select the correct country code and enter your phone number.
  6. Click Save Changes.
Keep in mind that to add an extension, you must use one of the following formats:
  • phone_number;ext=1234567
  • phone_number Ext 1234567
  • phone_number # 1234567
  • phone_number x1234567
  • phone_number ~1235467
  • phone_number-12345#

To report a profile on Workplace:
  1. Click on the profile you'd like to report.
  2. Click and select Report Profile.
  3. Select the reason for for reporting the profile and then click Submit.

Managing Reported Profiles
When a profile is reported, admins will receive a desktop notification and a mobile push notification.
To manage a reported profile:
  1. Click Admin Panel and select Reported Content.
  2. Click Review under the reported profile you'd like to review.
  3. Once you've reviewed the profile as system admin, you can choose to deactivate it or allow the profile to remain on Workplace.

There are several ways to find your Workplace data:
  • Log Into Your Workplace Account: Most of your data is available to you by logging into your account. For example, your Timeline contains posts you've shared on Workplace, along with comments and other interactions from people. You can also find your message and chat conversations by going to your inbox, or photos and videos you've added or been tagged in by going to those sections of your Timeline.
  • Visit Your Activity Log: Within your account, your activity log is a history of your activity on Workplace. From your activity log, you can review and manage things you share, from posts you've commented on or liked to apps you have used or anything you've searched for. From your computer, you can access your activity log by clicking Activity Log from the menu shown by clicking your profile picture in the bottom-left.
  • Download Your Info: If you're using Workplace Standard on your computer, you can download a file of your information that includes much of the same info available in your account and activity log. This file includes your Timeline info, posts you've shared, messages, photos and more. It also includes info that's not available by logging into your account, like IP addresses logged when you log into or out of Workplace, and more.
    To download your data if you're using Workplace Standard:
  1. Click on your profile picture in the bottom-left, then click Settings.
  2. Click Download Your Data.
  3. Click Create File.
  4. If you're using Workplace Advanced, you'll only be able to download your data if your admin has switched on the feature. You'll know if the feature is switched on if you follow the above steps.

Badges, thanks and celebrations
This article is only applicable to users of Workplace Advanced and Workplace Enterprise.
To view your badges:
  1. Click your profile picture at the bottom-left of Workplace, then click View Profile.
  2. Your badges will be displayed at the bottom-right of your cover photo. Hover over a badge to view the badge name.
  3. Click on a badge to view a list of all the badges you've earned, including the badge names and descriptions.
Keep in mind that all badges are visible to all users.

To give a coworker thanks on Workplace:
  1. Go to the profile page of the coworker you'd like to thank and click Send Thanks.
  2. Add the names of the people you'd like to thank. The person whose profile you've clicked Send Thanks from will be included by default.
  3. Your message can be up to 160 characters. If you don’t write anything, your message will say “Thanks!”.
  4. Click Post on timeline. You’ll receive a confirmation message.
  5. Click Close. You'll see the Thanks post on your coworker’s Timeline.
Keep in mind that you can choose to notify your coworker’s manager when you send a thanks. If you choose this, their manager will receive a notification. You will only see the thanks button on someone else's profile. You won't see it on your own profile.
The thanks button isn't available for coworkers who have the timeline setting Who can post on my Timeline? set to Only me.

Thanks messages can be viewed by anyone in your Workplace. To view the thanks messages a person has received:
  1. Go to their profile and hover over the Thanks section in the lower right column.
  2. Click See All and a list of the thanks messages they've received will appear.
  3. Click on a thanks message to view the original post, or click Close.

You can find Celebrations in the Events tab of Workplace. They include birthdays and the anniversary of a coworker's start date.
You'll only see these celebrations if people have birthday and start date information available on their profiles. Learn who can set your birthday on your Workplace profile.

Teams and org charts
Work Teams help people showcase what they’re working on, who they’re collaborating with and where discussions are happening. Each Work Team has a dedicated page that includes a description, team members, associated groups, resources and a point of contact.

To join a Work Team:
On your computer:
  1. Click See More from your Home tab > Click Directory > Click the Work Teams tab.
  2. Use the search field at the top of the page to find the team you want to join.
  3. Once you've found the Work Team you want to join, click Join in the top right.

To create a Work Team:
On your computer:
  1. Click See More from your Home tab > Click Directory > Click the Work Teams tab.
  2. In the top right, click Create Team > Enter a name for the team you're creating.
  3. Add a description of the team and what they do > Click Done.
  4. Note: Selecting Automatically join this work team will make you a member of the team.
  5. Add members to the Work Team by clicking Add Member then entering a name. When you select a person’s name, they'll be added to the team. The people you add to the Work Team will receive a notification.

This article is only applicable to users of Workplace Essential and Workplace Advanced.
You can specify your manager and the people who report to you by clicking Edit Profile on your own card in the Org Chart. You can also edit the same information on the About tab of your profile.
If your community admin has disabled profile editing, you won't be able to edit your Org Chart information. You should contact your HR department to get this information changed.
If you're a community admin, you can make changes to Org Chart through the People tab in the Admin Panel. If you've disabled profile editing, your employees won't be able to specify their manager or who reports to them. Manager information can also be added and changed via the SCIM API.
Note: When someone leaves your company and their account is deactivated, they'll no longer be shown on Org Chart.

This article is only applicable to users of Workplace Essential and Workplace Advanced.
Your Workplace Org Chart lets you find people and teams in your company by showing who reports to whom.
To view your Org Chart, from your News Feed, click See More below Home, then click Org Chart. To navigate the chart, click on people to see who they report to and who reports to them. The numbers in the gray circles on the chart indicate how many people report to that person.
Note: You can add or edit information about your team (example: your manager or direct reports) in Org Chart if your community admin has enabled profile editing. If you're a community admin, you can edit the Org Chart through the People tab in the Admin Panel.
